What is your modus operandi?


At Creative Outsourcing Solution Ltd., all our workflows, processes and procedures are geared towards delivering successful completion of the projects while minimizing the risks associated with offshore outsourcing. Our client engagement model can be broadly categorized into five distinct phases.

Phase 1:  Initial Contact Phase

In the initial contact phase, the client contacts us and sends us their requirement by filling out the Contact Us form with their specific requirements. As an alternative, clients can also directly communicate their requirements to us through e-mail, uploading their files on the FTP server, or by using any other web based applications.

Phase 2:  Requirement Capture and Analysis Phase

Once we receive the request from clients, we try and capture their exact requirements and conduct rigorous analysis to identify the deliverable components of their requirements. We then convert those deliverable components into actionable items; plan for resource requirements; allocate realistic budgets; and calculate realistic turnaround time for the project.  Based on the careful analysis of the requirements, we derive at a tentative costing for the project - which we then communicate to the client in the form of a formal quotation.

Phase 3:  Project Implementation Phase

Based on the detailed situation analysis of client requirements, we then embark on the implementation phase of the project. Our domain expertise, coupled with our expertise in project roll outs, helps us to ensure a seamless transition of your project offshore - which greatly reduces the outsourcing risks.
In case of large projects, we recommend carrying out a pilot study before we roll out the project. The pilot study will not only allow you to evaluate our performance and efficiency, but it will also give us the opportunity to provide you with an accurate quotation. Before the onset of the pilot study/Free Trial offer, we will sign a Non Disclosure Agreement (NDA) with the client.

Once the client approves the outcome of the pilot project / Free Trial offer, and accepts our final quotation, the client then signs off on the detailed and enforceable Service Level Agreement (SLA) and sends it back to us either as an e-mail attachment or through fax or courier service.

Upon signing of the SLA, we will implement our detailed project roll out plans, including hiring and training of additional resources (if required), additional investments in infrastructural developments (if required); integration of software (if applicable); implementation of backup systems, data security policy and business continuity plans to ensure safety and confidentiality of client data; etc.

For every project we undertake, a single point of contact is assigned to the clients - who will be responsible for client communication and for managing the project life cycle.

Phase 4:  Project Management Phase

To manage smooth transition, we monitor performance of the project by tracking it against set targets. We use Microsoft Project software to track the progress of all our projects against set targets.

During the Project Management phase, we ensure Quality assurance through various quality control measures, including sample checking of entered data, double data entry method, random physical verification process; etc. A checklist of all instructions to be followed during execution of the work is prepared, and the project supervisor monitors performance of the individuals against the set checklist of instructions.

The assigned contact person for the project is also responsible for taking and implementing regular feedback on the progress of the project from the client. Any unforeseen deviation from the agreed SLA is immediately informed to the client and if required a workaround solution is developed in consultation with the client. 

Phase 5:  Project Completion and Delivery Phase

Once the project is complete, and has passed through all the quality control checks, the finished project is delivered to the client in the requested format (i.e. plain text, database, excel, HTML, SGML and XML, etc.), and using a media that is preferable to the client (i.e.  E-mail, FTP Server upload, CD-R or CD-W, etc.). In case of sending hard copies (i.e. printouts of finished work and/or source documents) to the client, we either ship or courier parcels to the client.
